When you use the website, apply for coaching or use our services, we may process your name, email, phone number, age, height, weight, physical activity, nutrition and training goals, eating habits, preferences, supplements, progress reports, communications, payment details and accounting records.
An application may include information you provide about injuries, allergies and health restrictions. Technical requests may include your IP address and browser information. We collect data needed for the relevant purpose.
We process data to review applications, contact prospective clients, agree and deliver services, prepare individual nutrition and training plans, monitor progress, adapt programs, record payments, meet accounting obligations, prevent automated or unwanted applications and establish or defend legal claims.
We currently do not send newsletters or marketing emails.
Applications, pre-contract contact and service delivery are based on Article 6(1)(b) GDPR. Accounting and tax obligations rely on Article 6(1)(c). Website security, abuse prevention and legal claims rely on legitimate interests under Article 6(1)(f). Consent-based processing relies on Article 6(1)(a).
Health information is processed with your explicit consent under Articles 6(1)(a) and 9(2)(a) GDPR. You give this consent through a separate, initially unticked application checkbox. You can withdraw it at any time by email; withdrawal does not affect earlier lawful processing. The form cannot be submitted without this consent. If you prefer not to submit health information through the form, contact us by email to discuss possible coaching arrangements.
Fitkoch does not provide medical treatment or diagnoses.
Vercel hosts the website and processes technical request data, including IP addresses and browser information. Cloudflare Turnstile checks for automated applications and processes technical browser, device and network data.
Google Sheets, through Google Apps Script, stores application answers, submission time, application ID, consent records and the privacy policy version. Discord receives a notification containing your name, email, phone, application ID and submission time; health, nutrition and training answers are not sent to Discord. WhatsApp is used for coaching communications. Sanity manages public content and receives no application form data.
Only the business owner has access to applications in Google Sheets and Discord. Providers may process data outside the European Economic Area. Transfers use applicable GDPR bases and safeguards, such as an adequacy decision or standard contractual clauses, depending on the provider and applicable terms. Email notifications through Google Apps Script / MailApp — after an application is received, the owner is sent the name, email, phone, language, submission time and ID, and a link to the Google Sheet. Health answers are not included in the email. Notifications are stored in the recipient’s inbox and deleted according to the retention period for the relevant application or client.
Unsuccessful applications: three months from receipt. Former client data: six months after coaching ends, unless legal obligations or claims require longer retention. Accounting and tax records: for the statutory retention period. Data needed for legal claims: for the period justified by applicable legal time limits.
Data is currently deleted manually. We do not keep data longer than required for its purpose unless a legal basis permits longer retention.
We currently do not use Google Analytics, Meta Pixel, Google Ads tracking or a newsletter. The website uses technologies needed to display content and protect the application form, including Cloudflare Turnstile. If a NEXT_LOCALE cookie is set, it is used to select the language; otherwise the language is determined by the URL or browser preferences.
Links to Instagram and other external websites lead to services governed by their own privacy policies. If we introduce analytics or technologies requiring consent, we will request it before those technologies run.
Data may be processed by the service providers listed above. We do not sell personal data or provide it to advertisers for their marketing. Data may be disclosed to public authorities where required by law.
Subject to the applicable conditions, you can request access, correction, deletion, restriction and portability of your data, object to processing and withdraw consent. Withdrawal does not affect processing before withdrawal. In particular, you can object to processing based on legitimate interests. We do not make automated decisions or carry out profiling with legal or similarly significant effects. Contact details and application answers are requested to assess and prepare coaching; without necessary information, preparing a suitable program may not be possible.
You may complain to a supervisory authority in the country of your habitual residence, workplace or the alleged infringement. The relevant authority for a business in Baden-Württemberg is the Landesbeauftragter für den Datenschutz und die Informationsfreiheit Baden-Württemberg (LfDI).

Fitkoch provides individual nutrition and training advice.
Nutrition: €150 for three months. Includes an individual nutrition plan, food preferences and agreed substitutions, weekly progress checks, calorie adjustments and WhatsApp support.
Nutrition + training: €250 for three months. Includes everything in Nutrition plus an individual training plan, access through a suitable app, exercise videos and adjustments to progress and abilities.
These are the amounts payable for the agreed package. Fitkoch applies the German small-business rule under § 19 UStG; VAT is not shown separately while this rule applies.
Submit the website application first. After review, we contact you to agree the package, price, payment and start date. An application does not automatically constitute acceptance or a contract. A contract is concluded when both parties accept the cooperation terms. Before that, the client receives information about the service, price, duration, payment and applicable consumer rights.
Payment is available by bank transfer or PayPal, in full in advance or in up to two agreed instalments. Payment dates are agreed before coaching starts. Coaching starts after agreement and receipt of the agreed initial payment.
Standard packages last three months. The start date is agreed with the client. Pauses or extensions can be agreed, subject to applicable statutory rights.
Communication takes place through WhatsApp. Clients can ask questions throughout coaching. Usual response hours are 06:00–20:00, with a reply expected within 24 hours. This is not a guarantee of continuous availability.
Clients send a weekly progress report using the agreed process. Reports help assess progress and adjust plans. If a report is not sent, the following week’s adjustments may be delayed until the necessary information is available.
Provide accurate information, disclose relevant health restrictions, send agreed reports, tell us about changes in health, ask when instructions are unclear and follow medical recommendations and personal limits.
Results depend on individual characteristics, consistency, nutrition, activity, health and other factors. Specific weight loss, muscle gains or transformations are not guaranteed.
Coaching is nutrition and training advice, not medical treatment, diagnosis or a substitute for medical advice. Disclose relevant injuries, allergies, illnesses and limitations and follow your doctor’s instructions. If exercise causes pain or other concerning symptoms, stop exercising and seek medical help as appropriate. Programs may be adapted or paused for health reasons.
Pauses may be agreed for injury, illness or other justified circumstances. Both parties may agree to end coaching early. Financial consequences are assessed individually, respecting statutory client rights.
Consumers generally have a 14-day right of withdrawal from distance contracts, starting at contract conclusion, without giving reasons. Send a clear withdrawal statement to fitkoch@hotmail.com or to the provider’s postal address. Detailed withdrawal information and the appropriate form are supplied before contract conclusion. Starting a service within this period requires a separate express client request and information about the legal consequences. Submitting an application is not such a request or a waiver of statutory rights.
Refund requests are assessed individually in light of the circumstances and applicable law. We may consider a refund for dissatisfaction, expected results not achieved despite consistent adherence or other justified circumstances. This policy does not limit statutory consumer rights.
Clients may use purchased plans personally and share them with others. Sharing does not transfer copyright or permit resale or commercial exploitation unless separately agreed or permitted by law.
Transformation photos, results and testimonials are published on the website or social media only with prior client permission. Agreement to publication is not required to use coaching. Separate consent is requested where needed.
Send questions or complaints to fitkoch@hotmail.com, preferably with your name, package and a description of the issue. Complaints are considered within a reasonable period and in accordance with applicable law.
Fitkoch operates from Germany and may serve clients abroad. Applicable law includes mandatory consumer rights that cannot be excluded by contract.
Terms may be updated for business or legal changes. Existing contracts retain their applicable terms unless a change is validly agreed or required by law.
